Common questions about supply, customs form 136F, delivery and accounts. If your question is not here, write to us and we will answer it plainly.
Who can buy from Neotron?
Neotron SA supplies diplomatic missions, permanent representations, consular posts and international organisations accredited in Belgium. An account is opened only after Neotron has checked the accreditation by hand. Neotron does not sell to the general public, and does not sell to businesses or individuals without diplomatic status.
What does Neotron sell?
Neotron supplies premium hand-made cigars and spirits, free of Belgian excise duty and VAT, to the diplomatic community in Belgium. The current cigar selection is built around Horacio, a house making hand-made cigars in Nicaragua and Costa Rica across seven series: Classic, Maduro, Heritage, Edición Especial, OX, Final 8 and Esteli Club.
What is customs form 136F and why is it required?
Form 136F is the Belgian customs document on which Neotron's duty-free and VAT-free sales rest. Every order must be accompanied by a form 136F completed and signed by the mission, uploaded during checkout together with its reference number. Neotron does not dispatch any order before an administrator has read the form and validated it.
Do Neotron prices include VAT and excise duty?
No. All prices shown on dutyfree.brussels are net of Belgian excise duty and value added tax. There is no tax calculation anywhere on the site, because sales are made only to accredited missions against customs form 136F.
What is the minimum order at Neotron?
The minimum order value at Neotron is 500 euro, net of excise duty and VAT. Checkout is blocked below that amount, and the cart shows how much is still needed to reach it.
How long does delivery take?
Neotron delivers within three to five working days of validating the customs form 136F. During checkout the customer may request a preferred delivery date; the date picker excludes weekends, Belgian public holidays and Neotron's own closure days. Neotron's office confirms the date before delivering.
Does Neotron deliver outside Belgium?
No. Neotron delivers only to addresses in Belgium, and only to the mission's own address. Delivery is made by Neotron staff rather than by a carrier, which is why there is no shipping charge and no tracking number.
How much does delivery cost?
Delivery is free. Neotron staff deliver to the mission's address in Belgium at no charge, whatever the size of the order.
How do I open an account with Neotron?
An account is requested through the form on dutyfree.brussels. The form asks for the mission or organisation name, the country represented, the accreditation or diplomatic card number, a contact person and function, an official email address, a telephone number and a delivery address in Belgium. Neotron reviews each request by hand, normally within one working day, and emails the applicant once the account is approved. The catalogue and its prices are not visible before approval.
Why can I not see the catalogue or the prices?
The Neotron catalogue, its prices and its product photography are visible only to signed-in accounts that have been approved. This is a condition of supplying under a customs exemption, not a marketing device. Request an account and the catalogue opens as soon as the accreditation is checked.
How do I pay Neotron?
Payment is made by SEPA bank transfer against Neotron's invoice. The order confirmation carries the bank details and the payment reference to quote, so a mission's finance office can pay without waiting for the invoice. Card and Bancontact payment will be added later.
Are cigars sold singly?
No. Cigars are sold by the box, the bundle or the coffret, in the manufacturer's sealed unit, and stock is counted in those units. The price per cigar shown beside each reference is indicative, calculated from the price of the box, and is there only to make references comparable.
How does Neotron store its cigars?
Neotron holds its stock in Brussels in conditions kept steady all year, so cigars reach the mission in the condition they left the maker. Boxes are never opened, split or repacked. After delivery, keep them in their original box in a humidor at roughly 68 to 72 per cent relative humidity and 16 to 18 degrees, away from light and heat.
What happens if my form 136F is refused?
The order is held, not cancelled. Neotron emails the mission explaining exactly what is wrong with the form and what to send instead, and puts the order back into preparation as soon as a corrected form arrives. Nothing is charged twice and nothing is lost.
Where is Neotron based?
Neotron SA is based at Rue Faider 1C, 1060 Brussels, Belgium, and supplies the diplomatic community throughout Belgium.
